How many deals will I get and what affects my conversion rate?

One of the first questions every new client asks us is: 'How many deals will I get?' It's a fair question — you're investing in a calling campaign and you want to know what to expect. The honest answer is: it depends. But that doesn't mean we can't give you a framework for projecting results and understanding what moves the needle.

What Is a Conversion Rate?

In the context of outbound calling, your conversion rate is the percentage of contacts who take a desired action — booking an appointment, agreeing to a follow-up, or expressing interest in your offer. A typical outbound calling campaign might see a 1–5% conversion rate from dials to appointments, depending on several factors.

Factor 1: List Quality

The single biggest driver of conversion rate is the quality of your calling list. A warm database of past clients or opted-in leads will convert at a dramatically higher rate than a cold purchased list. If you're starting with cold data, expect lower initial conversion rates that improve as you refine your targeting.

Factor 2: Your Offer

What are you asking people to do? A low-commitment ask (a free consultation, a quick 10-minute call) converts far better than a high-commitment ask (sign a contract, make a purchase decision). The clearer and more compelling your offer, the higher your conversion rate.

Factor 3: Script and Messaging

How your callers communicate your offer matters enormously. A well-crafted script that leads with value, handles objections naturally, and has a clear call to action will outperform a generic pitch every time. We work with clients to refine scripts based on real call data.
